# Germany Schengen Visa Cover Letter from India: Every File Ends Up in Mumbai

Germany's Schengen process for India has one structural fact that changes how a cover letter should be written: it doesn't matter which city files the application, because only one office decides it.

## One decision-maker, whichever VFS centre you use

Germany's own Federal Foreign Office site for India states it directly: applicants can submit a Schengen application "at any VFS centre across India," but every file is then forwarded to the **German Consulate General in Mumbai**, the sole authority that decides it. That's a genuine structural difference from a mission that splits jurisdiction by state — a Delhi resident filing at the Delhi VFS centre and a Chennai resident filing at the Chennai centre are, in the end, both read by the same desk in Mumbai.

For the cover letter, this means the "which mission" paragraph other Schengen countries need is unnecessary here — but it also means nothing about the applicant's home city or VFS centre carries any special weight with the reader. What matters is that the application form was completed on **VIDEX**, Germany's own online system, printed and signed, with the barcode page attached.

## The document Indians confuse with a normal invitation letter

If a sponsor based in Germany or elsewhere in the EU is formally covering the visit's costs, the relevant document is a **Verpflichtungserklärung** — a formal obligation letter the sponsor obtains through their own local Ausländerbehörde (foreigners' authority) in Germany, not something they write themselves. It is a distinct legal commitment, different in kind from the invitation letters other Schengen missions accept as ordinary correspondence. A self-funded trip, or one where hotel bookings cover the stay, does not need one — but where it applies, the cover letter should name it explicitly rather than describing the sponsorship in vaguer terms.

## Business trips need two invitation letters, not one

Germany's business checklist is specific: the German host or company must provide a letter stating the purpose, itinerary and the applicant's personal data — and separately, the Indian company must submit its own signed covering letter on company letterhead, naming the traveller, the trip's purpose, duration and itinerary. A consultant visiting a German client needs a third document: written confirmation from that client. None of these three replaces the applicant's own cover letter; the cover letter is what tells the reader all three exist and where to find them in the file.

## Timing

Processing runs 15 working days from the day the file reaches the visa section — but VFS submission adds transit time before that clock starts, and Germany's own pages are not fully consistent on how much: one checklist cites up to two working days, another cites up to six. Budget for the longer figure rather than the shorter one.
